Field verification
The tool will complete a preliminary analysis of the fields in your file to identify the names of the columns.
If certain columns are not identified, you must pair the fields manually.
In the example provided below, the tool has detected that the date of birth, a piece of information that is required for student profiles, is not included in the file.
The tool will pair up the fields between your files and the expected data points. You can edit these pairings if you don't think they are correct (1).
A field in your file might not be able to be paired. This will trigger a warning (3) when the pairing is not required so you can pair up the field in question if you want. Otherwise, it will be switched to “ignore” status (2), and the column will not be included when it comes time to import.
Verifying classes
This step consists of checking that the class pairings are correct:
-
Between the various files you have imported (there are sometimes minute differences, like an extra space, for example)
-
Between the classes in your files and the classes that already exist on the platform
If your school is empty, the tool will ask if you would like to create all the classes included in your files.
If your school already has classes, the tool will let you pair the classes in your files with these existing classes.
Progress report
The progress report is generated by analyzing the data from the imported users.
At this stage, you will see what will be done with each user account (created, edited, or deleted), as well as any notifications.
You can receive two types of messages:
- The import cannot proceed due to an error.
- A warning requiring your attention and potentially your action.
To see an overview of the reported warning, you can click on the type of error. In the example below, a missing attribute button (1) or a button representing the reported warnings (2), such as a missing child-parent pairing is shown. A filter will be automatically created for the relevant accounts.
You can also filter users by profile (A) or class (B).
You can correct serious error messages by directly editing the incorrect information (last name, first name) in the table by clicking on the pen symbol and, in the case of an incorrect date of birth, on the calendar symbol, as shown in the example below.
After verifying the data (total number of users, class assignments, and data that are not mandatory but require correcting in the .csv file), you can:
-
Start importing by clicking on next in the bottom right-hand corner.
-
Click on previous to change any steps you took before.
-
Click on cancel to not continue with the import or to edit incorrect files, then import them again if necessary.
Import report
A window will appear confirming that the import is complete.
At this point, you can choose from three different options:
-
Download the import report (1) in .csv format summarizing the actions taken for each user account.
-
Access the list of users (2) who were just created in the Users section of the Admin Console. You will need to click on this button to view the edits made for the school.
-
You can also import a new file (3) (another profile type, for example).
