Configure Your Institution for School Life Modules
School year settings
In the School year Settings menu, you define the start and end dates of the academic year.
It can also be done automatically in primary schools by initializing Attendance.
Period settings
To configure periods by class, follow these steps:
- Click on the Period settings menu.
- Search for a class or a set of classes.
- Select the desired classes from the list.
- Click the Save button.
You can choose the period type: semester or trimester, then enter the expected dates.
Exclusion period settings
In the Exclusion period settings menu, you define the school's closing periods (holidays and public holidays) that need to be considered in the various school life applications.
It can be done automatically in primary schools by initializing Attendance.
Timeframes
Timeframes allows you to select your school's time blocks that will be necessary for the use of certain applications.
After defining the time slots in the administration console (see the section on configuring the Attendance application), you can, here, select the time grid you wish to apply to your institution.
It's also possible to create multiple timeframes and associate them with groups. This allows for calls (e.g., attendance rolls) in Attendance on different timeframes.
Service Settings
In the Service settings menu, you'll find the list of services in your institution and can attach sub-subjects, co-teachers, or substitutes to them.
Services are displayed and grouped:
- By subject
- By class/group
- By teachers
You can perform a search on these three elements.
Adding a Co-teacher
You can add a co-teacher to one of the services by clicking the corresponding icon (4) :
5. Select the co-teacher.
6. Select the class(es) they teach in.
After validation, the co-teacher is added to the selected service. To delete them, click the cross next to the co-teacher's name.
Adding a Substitute
7. You can add a substitute to one of the services by clicking the corresponding icon.
8. Select the substitute teacher.
9. Select the class(es) they teach in.
10. Enter their replacement dates.
The end date for entry allows the substitute teacher to continue entering grades and assignments even after their replacement period.
After being added, the substitute appears in the substitute column for the selected service.
Adding / Assigning a Sub-subject
- You can add a sub-subject by clicking the corresponding icon.
2. Select the sub-subject you wish to add.
3. Or, create a new one.
4. The relevant subject is already selected.
5. You can add new ones if needed.
After validation, the sub-subject is added. If evaluations were linked to the main subject, they will automatically be linked to the newly created sub-subject.
Organizational chart
By default, student avatars are used in school life applications. However, you can uncheck the box to upload photo directory data.
To ensure the best reconciliation between photos and students, here are a few rules to follow:
- Photos must be organized in class folders. The folder names must exactly match the class labels in the ENT (Digital Learning Environment).
- Student photos must be named with the student's firstname.lastname without special characters.
- During upload, if some students are not recognized, it's possible to perform a reconciliation.
Once the photo directory is uploaded, you can view and modify it.
Grouping, level
It's possible to combine groups into a broader grouping which can then be used in school life searches. This allows, for example, to create level groups and then perform actions on all classes at the same level.
